This policy explains how Otto Scooter Ltd collects, uses and protects your personal data, in line with UK GDPR. Otto Scooter Ltd, 66 Paddenswick Road, Hammersmith, London W6 0UB, is the data controller (ICO registration ZA816836).
Data we collect
We collect the information you give us when you enquire, reserve or rent — such as your name, contact details, driving licence/CBT details and payment information — together with vehicle GPS and usage data needed to operate the rental.
How we use it
We use your data to provide and manage your rental, arrange insurance and servicing, operate GPS tracking and theft recovery, take payments, and communicate with you about your account.
Sharing
We share data only as needed to deliver the service — for example with our insurers and payment providers, and with the providers behind our WhatsApp channel listed below — and where required by law. We do not sell your personal data.
WhatsApp: what we collect and why
When you message us on WhatsApp we receive your WhatsApp profile name, your phone number, and the text and any attachments (such as photos or documents) you send. We use them to answer your enquiry, arrange a rental and support you as a customer. Lawful bases: taking the steps you ask for before entering into a contract with you, and our legitimate interest in replying to the people who contact us.
WhatsApp: how your messages are handled
Our WhatsApp Business number (+44 20 3098 0364) is connected to Meta’s WhatsApp Cloud API through Dualhook, and the same chats also stay in the WhatsApp Business app on our company phone. Incoming messages reach our own service on Cloudflare (Workers and a D1 database) and are copied into our CRM, Airtable, linked to your enquiry or customer record. To reply faster, an AI model (Claude, by Anthropic) prepares a draft answer, but a member of our team reads every message and decides what is sent, so no decision about you is made by automated means within the meaning of Article 22 UK GDPR. The team receives notifications and approves replies in a private Telegram group, where your number appears only by its last four digits. We also measure how quickly our team replies.
WhatsApp: who handles your messages
Besides the recipients above, your WhatsApp messages pass through: Meta (WhatsApp), which carries them; Dualhook, which connects our number to the WhatsApp Cloud API and does not store messages; Cloudflare, which hosts our messaging service and its archive; Airtable, our CRM; Anthropic, which provides the AI model that drafts replies and does not use your messages to train its models; and Telegram, which delivers notifications to our team. Meta, Dualhook, Cloudflare and Airtable act as our processors. Anthropic and Telegram provide their services under their own standard terms, so we share with them only what they need: Anthropic receives the conversation it has to answer, and Telegram shows your number only by its last four digits.
Transfers outside the UK
Some of these providers process data outside the UK, mainly in the United States. Where a provider processes data on our behalf, the transfer relies on UK adequacy regulations (including the UK–US data bridge, for certified companies) or on the ICO’s International Data Transfer Agreement or UK Addendum included in its data processing terms.
WhatsApp: how long we keep messages
Messages stay in Airtable for 90 days. The archive on Cloudflare keeps them for 24 months, after which they are deleted automatically. Telegram notifications are deleted automatically after one month. The chat history in the WhatsApp Business app on our company phone follows WhatsApp’s own rules. Your enquiry or customer record is kept as described under Retention.
Stopping WhatsApp messages
Reply “stop” on WhatsApp and we will not contact you there again. You can also object to our use of your WhatsApp messages, or exercise any of the rights below, by contacting us.
Your rights
Under UK GDPR you can request access to, correction of, or deletion of your personal data, and object to certain processing. To exercise these rights, contact us using the email above. You can also complain to the Information Commissioner’s Office (ico.org.uk).
Retention
We keep your data only as long as necessary to provide the service and meet our legal obligations.
